Access GatesFlow at your organization's URL. Sign in using your email and password, or use single sign-on (SSO) with Google, Microsoft, or Apple. After logging in, you'll land on the dashboard showing your programs and recent activity. First-time users will see a guided tour highlighting key features. Your organization admin will have already set up your account with appropriate permissions.

The dashboard provides an at-a-glance view of your APQP programs. The stats section shows total programs, active FMEAs, pending approvals, and team members. Recent activity displays latest updates across all programs. Quick actions let you create new programs, FMEAs, control plans, or access the AI assistant. The sidebar provides navigation to Programs, FMEAs, Control Plans, PPAP, Milestones, Capacity Planning, Users, and Settings.

Click 'New Program' from the dashboard or Programs page. Enter program code (unique identifier), name, select a customer, and assign a project manager. Optionally add start/end dates, priority level, and description. Upon creation, the system automatically generates 5 APQP gates with 45 gate items based on industry standards (Concept Approval, Product Definition, Prototype Approval, Process Capability, Launch Approval). You can now begin adding parts, team members, milestones, and attachments.

The sidebar remains fixed for easy navigation between modules. Use the search bar (Ctrl+K or Cmd+K) for quick access to programs, parts, and documents. The AI assistant icon in the bottom right provides intelligent help and data analysis. User profile menu in the top right accesses settings, permissions, and logout. Breadcrumbs at the top show your current location within the app hierarchy.
