How Much Does a Visitor Management System Cost in 2026?
Ask a visitor management vendor "how much?" and you'll rarely get a number. You'll get a pricing page with three tiers, a "contact sales" button, and an asterisk that turns out to cost more than the subscription. Here's how the market actually prices, so you can compare like-for-like.
The four ways you'll be charged
1. Per location, per month. The industry standard. Entry tiers commonly run $100–$150 per location per month, mid tiers $200–$300, enterprise tiers "call us." The tier walls are where it stings: badge printing, legal document signing, and evacuation lists — the features a factory actually needs — usually live one or two tiers above the advertised price.
2. Per visitor. Some platforms meter check-ins. It looks cheap at low volume and punishes you for being busy — a plant with steady contractor and driver traffic can watch this line grow month over month. A visitor log should not have a taxi meter on it.
3. Hardware, sold separately. The advertised price almost never includes the thing visitors touch. A decent tablet is $300–$500, the enclosure $100–$250, a badge printer $400–$700, plus label stock. Call it $800–$1,400 per entrance, up front, on your capex budget and your IT team's setup queue — before the software subscription starts.
4. Setup and onboarding fees. One-time "implementation" charges of a few hundred to a few thousand dollars, for configuration you mostly do yourself in a web form.
The realistic first-year math
For one entrance on a typical mid-tier plan:
- Software: ~$200/month → $2,400/year
- Hardware: ~$1,100 up front
- Setup fee: ~$500
First year: roughly $4,000. And that's one gate, assuming you didn't need the enterprise tier for SSO or evacuation reports.
